Position Summary
As a Deputy Finance Manager, you will support the Head of Finance in managing day‑to‑day finance and accounting operations. This is a hands‑on role responsible for ensuring accurate financial data, compliant processes, timely closing cycles, and strong internal controls. You will coordinate operational activities, perform detailed financial analysis, and collaborate with cross‑functional teams to improve financial accuracy and operational efficiency.
Key Responsibilities
1. Month-End & Year-End Closing
• Prepare month-end and year-end closing deliverables, including journal entries, account reconciliations, variance analysis, and supporting schedules in line with IFRS and internal policies.
• Maintain the general ledger, ensuring accurate postings, chart of accounts integrity, and periodic reclassifications.
• Prepare journal entries for depreciation, prepayments, accruals, provisions, fixed assets, and other adjustments.
• Prepare and maintain balance sheet schedules and follow up on outstanding items.
2. Operational Finance
• Handle AP and AR operational tasks, monitor aging schedules, and coordinate with departments to ensure timely processing.
• Support payment processing and documentation compliance in accordance with internal procedures.
• Assist in fixed asset management, including recording additions/disposals and updating FA registers.
3. Financial Analysis & Reporting
• Assist in monitoring revenue, cost of goods sold, payroll, and operating expenses; prepare variance explanations for internal review.
• Produce management reporting files, including cash flow updates, expense analyses, and balance sheet reconciliations.
4. Budgeting & Forecasting Support
• Consolidate budget submissions from departments and ensure accuracy and completeness.
• Prepare budget vs. actual analyses and highlight variances to the Head of Finance.
• Support the preparation of rolling forecasts with relevant financial data.
5. Tax, Compliance & Audit Support
• Prepare working files for monthly and annual tax declarations; support the Head of Finance in ACAR compliance documentation.
• Assist with internal and external audits by preparing audit schedules and responding to auditor requests.
• Identify process gaps or control weaknesses and propose improvement solutions to the Head of Finance.
6. Cross-Functional Coordination
• Work closely with Admissions, Operations, Admin, Procurement, and HR/Payroll to ensure accurate financial data and documentation.
• Clarify transaction issues and advise departments on required financial documents to maintain compliance.
• Communicate finance timelines and requirements clearly to stakeholders.
7. Systems & Process Improvement
• Maintain accurate financial data in QuickBooks Enterprise or any financial system.
• Support system improvements, template standardization, and digital workflow adoption.
• Identify opportunities for automation or simplification of accounting processes.
